Data is managed as an asset of the organization. Appropriate controls to protect that data include but are not limited to: 

  • WaTech IT Security Policies and Standards (SEC) Series in place to secure electronic information along with network, access, application, computer, and data storage security
  • Personally Identifiable Information (PII) (for example: birth date, WDL number, social security number) will not be included in internal or external electronic data, except when responding to data from a User that has already disclosed PII in an original transmission
  • In-scope operating systems and software updates, no less than monthly
  • Have an active anti-malware solution with signatures updated no less than weekly
  • Personal information may not at any time be processed on or transferred to any detachable portable storage medium
  • All personnel, employees, and subcontractors who have access to personal information will be provided an annual training requirement for the official WaTech safeguarding of privacy regulations and best practices
  • All personnel will secure, use, and dispose of personal information in alignment with our privacy and security practices, which must collectively align with DOL privacy requirements
  • We will protect personal information with administrative, technical and physical measures that meet generally recognized cyber security industry standards and best practices, including those established by Washington Technology Solutions (WaTech).
  • Regular and random auditing is performed by the DOL to ensure privacy and data security requirements meet DOL and WaTech standards
  • Data at rest will have an encryption

  • Hard copy storage-printed copies must be stored in locked containers during storage, transport, or when not in use of authorized persons. Hard copy documents must never by unattended or in areas accessible to the public. Hard copies containing personal information taking outside a secure area must be in the possession of an authorized person, or a trusted courier providing tracking services. Records must be maintained for all transported hard copies
  • Data collection, storage and processing practices and security measures are in place to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, and transaction information
  • We do our best to protect your personal information and transmission of personal information, we cannot guarantee 100% security, despite our safeguards. We cannot guarantee that criminals, cyber or otherwise, bad actors, or unauthorized Third Parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Transmission of personal information to and from our Services is at your own risk. You should only access the Services or send, store, or transmit data within a secure environment. 

Electronic Opt-out and your privacy rights

If a User would like to review or change the information in an account, the User may log into their account and update account information. Upon your request to terminate your account or opt-out of electronic transmission, we will deactivate or delete your account or account information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with investigation, enforce our legal terms, and/or comply with applicable legal requirements.
